Venue Policies
Please review our policies to ensure a smooth and enjoyable event experience.
Booking & Payment
- A non-refundable deposit of 25% is required to secure your date
- Final payment is due 30 days before your event date
- Payment can be made via check, credit card, or bank transfer
- All pricing is subject to North Carolina sales tax
Cancellation & Rescheduling
- Deposits are non-refundable
- One-time rescheduling is permitted within 18 months of original date (no fee)
- Cancellations result in forfeiture of all payments made
- Force majeure events will be handled on a case-by-case basis
Alcohol & Beverages
- All alcohol must be purchased through Havenwing Vineyards
- Licensed bartenders are required for all events serving alcohol
- We reserve the right to refuse service to intoxicated guests
- No outside alcohol permitted (corking fee does not apply)
Catering & Food Service
- We have a preferred caterer list available upon request
- Outside caterers must be licensed and insured
- Outside caterer fee: $300 (includes kitchen use and cleanup)
- All food must be removed at the end of the event
Decorations & Setup
- No open flames (flameless candles are permitted)
- No confetti, glitter, or birdseed
- All decorations must be free-standing (no nails, tacks, or adhesives)
- Décor setup begins 3-4 hours before event start time
- All decorations must be removed by end of rental period
Music & Noise
- Outdoor amplified music must end by 10:00 PM (county ordinance)
- Indoor events may continue until midnight
- We reserve the right to reduce volume if noise complaints occur
Liability & Insurance
- Clients are responsible for the conduct of their guests
- Damage to property will be billed to the client
- Event insurance is recommended for all celebrations
- Havenwing Vineyards is not liable for lost or stolen items
Vendor Requirements
- All vendors must provide certificates of insurance
- DJs and bands must use our built-in sound system or bring their own
- Vendors must adhere to load-in and breakdown timelines
- Sparklers and fireworks require advance approval
